Booking Process and Payment

We understand that too well.
That’s why we make it easy for you.

Below we outline our booking process and payment deadlines that apply to all of our tours. It’s all very straight forward. We understand that you would like clarity before you book and we understand that trips and holidays can be costly. Therefore we have decided on a three-step payment cycle, which allows easier budgeting for you. Please find all the information below and should you have questions that are not answered here, please do not hesitate to reach out to us at anytime, we are very happy to walk you through or process and answer any questions you may have.   • READ THE TERMS FIRST
    Before you book, please kindly make yourself familiar with our Traveller Values, Booking Terms and Conditions, our Code of Conduct and our Private Policy. GO TO THE BOOKING SHOP Ready to book your tour now? Go to our shop and select the country/ or desired tour. OUR PRICES EXPLAINED You will see the total price in the header, the un-refundable EUR 500 deposit below. Our prices include VAT, as we currently still fall under the German small business owners law, which means that there is no additional taxes for you (and we can keep the prices lower for you). This will also be shown on the invoices you receive from us.

    FIRST INSTALLMENT OF PAYMENT
    When you book your trip, the non-refundable EUR 500 to reserve your trip is now required to book. For the remaining balance, we have decided on a 3-step-payment cycle to make budgeting easier for you. Please read more on that in our Frequently Asked Questions for a quick definition or follow this step-by-step guide.

    BOOK YOUR TRIP
    For booking the tour, choose now the trip. You are now on the booking page of the tour. Here, choose the month you would like to travel opening the drop down menu and hit the button „Book this trip now“. You will now be guided to to our SSL secured data portal.

    BOOKING + PAYMENT PROCESS
    In our SSL secured data portal, you enter now your e-mail address (important to double check as this is the address we will send you the booking confirmation) and your payment information. Are you a newsletter subscriber? Enter here now your exclusive subscribers code to claim your exclusive tour price. Continue with entering your billing address and review your booking before you book your tour.

  • BOOKING CONFIRMATION You booked your tour and sent off your booking to us. Thank you! Once we have received your booking, we will send you a Welcome Package to the e-mail addresss you stated in your booking. Please allow 24 hours for us to contact you.

    The Welcome Package includes:
    1. Booking confirmation and an invoice for the EUR 500 non-refundable deposit you paid upon your booking + invoice for second payment due within 14 days after receiving this invoice.
    2. Complete itinerary with personal contact details of our tour host.
    3. Payment details with deadlines of our 3-step-cycle, indicating the following 2 dates for balances due.
    4. Booking Terms and Conditions, Code of Conduct and Data.
    5. A Personal Information sheet to fill out and return to us + what we need from you. (see step 3)

    SECOND INSTALLMENT OF PAYMENT DUE
    The second payment of 50% of the trip’s price minus the EUR 500 deposit is due no later than 14 days after receiving the invoice.

  • Please return to us read and signed within 14 days after booking:

    1. The Personal Information sheet indicating if you have allergies, special needs or diet. 2. Booking Terms and Conditions, Code of Conduct and Data Information

    Please also send us now but no later than 30 days prior to the scheduled tour date:

    1. A copy of your travel insurance, it is mandatory for all of our tours. 2. Your flight details with arrival and departure dates and times, so that we can schedule pick-up by our tour hosts for you.

  • LAST INSTALLMENT OF PAYMENT DUE
    The third and last payment of the remaining balance is due no later than 30 days before the scheduled trip start date.

    We are now heading closer to our start of the trip and we want to make sure that you feel well looked after. With the last invoice for the last balance, we will also send you further information:

    1. Our Security Certificate which is required by German law.
    2. Our country introduction e-guide or our exclusive country e-guide to inspire you.
    3. We invite you to an optional zoom call, where you will meet your fellow travellers and us.

  • Payment can be made via PayPal, Venmo, Apple Pay and all accepted Credit Cards.

    If you wish payment via bank transfer, please contact us before proceeding with the booking at tovatraveltours@gmail.com. Thank you.

  • We have decided on this payment cycle to allow budgeting for you as a Traveller.

    If you book 60+ days and more prior to your booked trip’s scheduled start:

    Upon booking: You are required to pay a non-refundable deposit of EUR 500 for your booking to be confirmed. Preferably, this may be through booking on our website www.tovatraveltours.com or with us via e-mail at tovatraveltours@gmail.com. If you book with us via e-mail, please note that the payment must be made within 48 hours in order to be confirmed.

    Second payment: The second payment is with us upon receiving your first invoice after booking. A payment of 50% of the trip’s price minus the EUR 500 deposit is due no later than 14 days after receiving the invoice. We will send you an e-mail with your booking confirmation and your invoice stating the due dates and balance due so you have all the information. This second payment of 50% of the trip’s price also includes a non-refundable EUR 500 trip planning fee.

    Third payment: The third and last payment of the remaining balance is due no later than 30 days before the scheduled trip start date. You will have received the date and balance due with the order confirmation.
